Use Teams for personal and small business use with your keyboard and a screen reader to create a group project. We have tested it with Narrator, JAWS, and NVDA, but it might work with other screen readers as long as they follow common accessibility standards and techniques. You'll learn how to set up a group chat, share files and tasks, and create group events.

When you sign in to Microsoft Teams with your personal account, you might find that there are fewer functions than on your business account and some additional features.

Start a group chat
Do you share a hobby with some of your friends? Are you organizing a surprise birthday party for a family member and want to keep it a secret? Create a dedicated chat group to easily communicate with the group members.

Do one of the following to start a new chat:
-
Press Ctrl+2 to move the focus to the Chat tab. Press Shift+Tab until you hear "New chat," and then press Enter.
-
Press Ctrl+Shift+N.
-

A pane for the new chat opens, and the focus moves to the To: text field. Type the name, email address, or phone number for the first person you want to add to the group. The list of contacts is updated as you type. Press the Down arrow key until you hear the details of the person, and then press Enter. Repeat this step for the second person you want to add to the group.
-
When you have added a second person to the group, you hear: "Group name, edit." Enter the name for the group.
-
If you want to add more people to the group, press the Tab key until you hear "To," and then add more people as instructed in step 2.
-
To type a message to the group, press the Tab key until you hear "Type a new message," and then type your message.
-
When you're done, press Enter or Ctrl+Enter to send your message.
Create a new task list
If you're planning a group event or happening, for example, it's useful to have a task list and share the tasks between the group members. You can create a new task list, add tasks to it, and assign the tasks to group members. You can also set a due date and priority for each task on the task list.

Open the group chat you want to create a task list for.
-
Press the Tab key or Shift+Tab until you hear the currently selected tab, for example, "Chat tab." Press the Right arrow key until you hear "Add a tab," and then press Enter. The Add a tab dialog box opens.
-
Press the Tab key until you hear "Tasks," and then press Enter. The Tasks dialog box opens and the focus is on the Tab name text field.
-
Type a descriptive name for the task list, press the Tab key until you hear "Save, button," and then press Enter.
-
An empty task list opens as a new tab in the selected group chat. The focus is on the text field for the first task. Type a short description for the first task.
-
To assign the new task to a group member, press the Tab key until you hear "Assignment picker," and then press Enter. Start typing the name or email address of the group member you want to assign the task to. The list is updated as you type. Press the Tab key or Down arrow key until you hear the name you want, and then press Enter.

To set a priority for the task, press the Tab key until you hear "Priority picker," and then press Enter. Press the Up or Down arrow key until you hear the priority you want, and then press Enter.

To set a due date for the task, press the Tab key until you hear "Date picker," and then press Enter. Press Enter again to open the calendar, use the arrow keys to navigate to the date you want, and then press Enter. Alternatively, you can type the due date.

When you're ready, press the Tab key until you hear "Create task," and then press Enter. The task is created and the focus moves to an empty row for another new task. You can now start creating a new task as instructed in steps 5-9.
Use a task list
You can check and edit the task list and mark tasks off as they are completed to keep things organized.

Open the group chat whose task list you want to use.
-
Press the Tab key or Shift+Tab until you hear the currently selected tab, for example, "Chat tab." Press the Right arrow key until you hear the name of the task list you want, and then press Enter. The list of tasks opens.
-
Press the Down arrow key until you hear the task you want.
-
To edit the task, press the Right or Down arrow key until you hear the name of the task followed by "More options, Select for menu," and then press Enter. A context menu opens. From the menu, you can complete a task, change the assignee, priority, or due date, or delete the task.
For example, to complete the task, press the Down arrow key until you hear "Progress," and then press Enter. Press the Up or Down arrow key until you hear "Completed," and then press Enter. Completed tasks disappear from the task list.
Tip: To review the completed tasks, press the Tab key until you hear "Task status, all active," and then press Enter. Press the Down arrow key until you hear "Completed," and then press Enter
Create a group event
To make the long-awaited get-together happen, use the Calendar tab and schedule a meeting.

Press Ctrl+4 to move the focus to the Calendar tab.

To start creating the event invitation, do one of the following:

Press Alt+Shift+N.

Press the Tab key until you hear "New meeting," and then press Enter.

The Details window for the new event opens. The focus is on the text field for the event title. Type a descriptive title for your event.
-
To set the start date for the event, press the Tab key until you hear "Start date," and then press Enter. Use the arrow keys until you hear the date you want, and then press Enter.
-
To set the start time, press the Tab key until you hear "Start time," and then press Enter. Use the Up or Down arrow key until you find the time you want, and then press Enter.
-
To set the end date, press the Tab key until you hear "End date," and then press Enter. Use the arrow keys until you hear the date you want, and then press Enter.
-
To set the end time, press the Tab key until you hear "End time," and then press Enter. Use the Up or Down arrow key until you find the time you want, and then press Enter.

If you want to make the event a recurring one, press the Tab key until you hear "Recurrence," and then press Alt+Enter. Press the Down arrow key until you hear the option you want, and then press Enter. The Set recurrence dialog box opens. Set how you want the event to repeat. For example, to set up a meeting for every two weeks, press the Tab key until you hear "Weeks to repeat," and then type 2. To define an ending date for the repeating event, press the Tab key until you hear "End," and then press Enter. Use the arrow keys until you hear the date you want, and then press Enter. To save the recurrence, press the Tab key until you hear "Save, button," and then press Enter.

To add a location for the event, press the Tab key until you hear "Add location," and then type the location info, for example, the name of the venue.
-
To add a description for the event, press the Tab key until you hear "Type details for this new meeting," and then type the info you think is useful to the invitees.

When you're ready, to save the event, press Shift+Tab until you hear "Save button," and then press Enter. You hear: "Meeting created." The focus is on the Copy link button.

Press Enter. The link to the meeting is copied to the clipboard. You can now paste the link to a group chat or an email message and send it.
-
To close the Meeting created dialog box, press the Tab key until you hear "Close, button," and then press Enter.
Invite people to join you in Microsoft Teams
Everything is better when it’s shared. You can invite people saved in your address book, or people you know using their phone number or personal email address. You can invite people from the menu or directly in a chat.
Note: You can't use a contact's work or school email to invite them to Teams for personal and small business use.
Invite people from a chat

Press Ctrl+2 to move the focus to the Chat tab.
-
Press the Tab key until you hear "Invite to Teams," and then press Enter. The Invite to Microsoft Teams dialog box opens, with the invite link selected.
-
Press the Tab key once. You hear: "Copy, button." Press Enter. The invite link is copied to the clipboard.
-
Share the link with your contacts however you wish.
Invite people using the Search field
-
Press Ctrl+E to go to the Search field.
-
Type the phone number or email address of the person you wish to invite, and then press the Down arrow key once. You hear the phone number or email address you typed. Press Enter.
-
You hear: “Type a new message.” Enter your message and then press Enter. Your message and an invite link is sent.
Delete old chats
You can delete chats from your chat list. This both removes you from the group and removes the chat from your chat list.
When you remove a group chat, the chat is only removed from you, but not from the other group participants. The other participants will see that you've left the group chat but won't know that you've deleted it. If someone adds you back to an ongoing group chat that you previously deleted, the entire chat history is available to you again. For more information on deleting chats, refer to the section "When you delete a group or meeting chat" in Delete a chat in Teams for personal and small business use.

Press Ctrl+2 to move the focus to the Chat tab.

Use the Up and Down arrow keys to find the chat you want to delete.

To open the context menu, press Shift+F10 or the Windows Menu key.

Press the Down arrow key until you hear "Delete," and then press Enter.

A confirmation pop-up window opens. Press the Tab key until you hear "Yes, delete," and then press Enter. The chat is deleted.
Manage what contact information others can view
You can choose to show your contact information or limit what information is available. If you prefer to limit what your contacts can view, you can hide either your phone number, email, or both. For more information, go to Learn more about your account.
Note: When you make your email and/or phone number visible on your profile card, it helps people know it's you and lets you send meeting invites via email. Contacts that are blocked will not be able to view your contact information even if you make the information visible.

To open the Settings window, press Ctrl+Comma (,).

Press Shift+Tab once. With Narrator and JAWS, you hear: "Settings, General tab." With NVDA, you hear: "Tab control, General tab."

Press the Down arrow key until you hear "Privacy tab," and then press Enter. The Manage how people can find you page opens.

To hear whether your email or phone number is shown or hidden, press the Tab key until you hear your email or phone number, followed by the current setting. To modify the setting, press Spacebar. The Hide from search or Show in search confirmation window opens. Press the Tab key until you hear "Confirm," and then press Enter.

Group chats are a great way of organizing people for activities and tasks. You can have different groups for each project or activity and share files and other information between group members.

Swipe left or right until you hear "Chat, tab," and then double-tap the screen.

Swipe left until you hear "New chat," and then double-tap the screen. The focus is on the Search field. Double-tap the screen.

Start typing the contact’s name, email address, or phone number. The search results are displayed as you type and you hear the number of names found. To browse the search results, tap the center of the screen, and then swipe left or right. Double-tap the screen to select a contact.

Repeat step 3 for each contact you want to add.

When you’re done adding the contacts, swipe left until you hear "Next page," and then double-tap the screen.

Swipe right until you hear: "Type a message." Double-tap the screen, and then enter your message using the on-screen keyboard. If you are inviting people to join Microsoft Teams, this message will be sent along with the invitation.

Swipe left until you hear "Send," and then double-tap the screen.

A pop-up opens asking you to enter a group name. Type the name, swipe left until you hear "OK, button," and then double-tap the screen. You hear: "Group created."
Create and use a task list
Having a task list where everyone can mark things off as they are completed helps keeping things organized. You don't want to forget anything crucial when you go camping.

Open the group chat where you want to create a task list.
-
Swipe right until you hear "Compose options," and then double-tap the screen.
-
Swipe right until you hear "Tasks," and then double-tap the screen.

Do one of the following:
-
If the group already contains a tasks list, swipe right until you hear "New shared list," and then double-tap the screen. You are prompted to add the title for your list. Type the name, swipe left until you hear "Create, button," and then double-tap the screen.

If you are adding a first task list to the group, continue to step 5.
-

Swipe right until you hear "Add task," and then double-tap the screen.
-
Use the on-screen keyboard to write the task name or description, for example, "Check that all tent parts are there." When you are done, swipe right until you hear "Done," and then double-tap the screen. You hear "Task created," and the focus stays in the Add a task edit box.

Repeat step 6 for each task you want to add.

When you are done adding the tasks, tap with four fingers near the top of the screen, swipe right until you hear "Share, button," and then double-tap the screen. The task list is now sent to the chat.

If this was a first task list you created, the task list name is "Shared tasks" by default. If you want to rename it, do as follows:

In the chat, swipe right or left until you hear "Shared tasks," and then double-tap the screen to open it.

Swipe left once. You hear: "More button." Double-tap the screen.

Swipe right until you hear "Rename list," and then double-tap the screen.

Delete the default "Shared tasks" name from the text field and type a new name for your list, for example, "Camping preparations."

Swipe left until you hear "Save, button," and then double-tap the screen.

To mark a task as done, swipe right or left in the chat until you hear the task list you want, and then double-tap the screen. Swipe right until you hear the task you want, followed by "Checkbox, not checked," and then double-tap the screen. Completed tasks disappear from the task list.
Tip: To show the completed tasks in the task list, swipe right or left in the task list until you hear "More, button," and then double-tap the screen. Swipe right or left until you hear "Show completed," and then double-tap the screen.
Create a group event

Open the group chat you want to create the event for.
-
Swipe right until you hear "Compose options," and then double-tap the screen.
-
Swipe right until you hear "Event," and then double-tap the screen. The New event view opens.

Use the on-screen keyboard to enter the title for the event. To close the keyboard, slide your finger near the lower-right corner until you hear "Return," and then double-tap the screen.
-
If you want to set the event length in complete days, swipe right until you hear "All day, switch button," and then double-tap the screen.
-
To set the start time for the event, swipe right until you hear "Start," followed by the currently set start date, and then double-tap the screen. Swipe right once to go to the day part of the picker and then swipe up or down to change the day. To adjust the hour, swipe right once, and then swipe up or down to change the hour. To adjust the minutes, swipe right once, and then swipe up or down to change the minutes.
Note: If you selected the All day option in step 5, the three fields of the date picker are day, month, and Year instead of day, hour, and minute.

To set the end time of the event, swipe right until you hear "End," followed by the currently set end date, and then double-tap the screen. Swipe right to choose the duration of the event, and then double-tap the screen when you hear the one you want, or when you hear: “Customized end time.” If you selected the “All Day” option in step 5 or picked a customized end time, swipe right until you hear the first part of the date picker and pick the ending date and time as described in step 6.

If you want to make the event repeating, swipe right until you hear "Repeat," and then double-tap the screen. Swipe right or left until you hear the repeat option you want, and then double-tap the screen to confirm it. Swipe left until you hear "New event, back button," and then double-tap the screen.

Swipe right until you hear “Location,” and then double-tap the screen to edit the field. Use the on-screen keyboard to enter the location of your event. To close the keyboard, slide your finger near the lower-right corner until you hear "Return," and then double-tap the screen.

Swipe right until you hear “Description,” and then double-tap the screen. Swipe right until you hear "Multiline text field," and then double-tap the screen to edit the event description. When you’re done, swipe left until you hear "Done," and then double-tap the screen. Swipe left until you hear "New event, back button," and then double-tap the screen.

When you’ve added all the event details, to create the event, swipe left or right until you hear "New event, Done, button," and then double-tap the screen. The event is sent to the group chat.
Invite people to join you in Microsoft Teams

Swipe right to browse the different methods to share the link, and then double-tap the screen to select the method you want, for example, "Messages." The app you selected opens.

In the app that opens, select the contact from your address book or write the email address or phone number for the contact you want to invite, swipe right or left until you hear "Send," and then double-tap the screen. The invite is sent and the focus moves back to the More menu button.
Invite people from a chat

Use the VoiceOver rotor to switch the navigation mode to Actions. To use the rotor, rotate two fingers on your screen as if you're turning a dial. You hear the first rotor option. Keep rotating your fingers until you hear “Actions,” and lift your fingers to select the option.

Create a group event
Creating group events in Microsoft Teams for Android helps everyone remember what's coming up.

Open the group chat you want to create the event for.

Swipe right until you hear "Compose options," and then double-tap the screen.

Swipe right until you hear "Event," and then double-tap the screen. The New group event view opens.

Use the on-screen keyboard to enter the title for the event, and then swipe down-then-left to close the keyboard.

If you want to set the event length in complete days, swipe right until you hear "All day, switch," and then double-tap the screen.

To set the start date for the event, swipe right until you hear "Starts," followed by the currently set start date, and then double-tap the screen. The calendar grid opens. To change the month, swipe right or left until you hear "Next month" or "Previous month," and then double-tap the screen. Swipe right on the calendar grid until you find the date you want, and then double-tap the screen to select it. To confirm the date, swipe right until you hear "OK button," and then double-tap the screen.

To set the start time, swipe right once. You hear the current start time. Double-tap the screen. You hear: "Double-tap to select hours." Swipe left until you hear "Switch to text input mode," and then double-tap the screen. Swipe right until you hear the current hours, followed by "Edit box for hours," and then double-tap the screen. Use the on-screen number keyboard to type the hours number, then swipe right until you hear "Next," and then double-tap the screen to move on to the minutes. Type the minutes number, then swipe right until you hear "Done," and then double-tap the screen. Swipe right until you hear "OK button," and then double-tap the screen.

To set the end date, swipe right until you hear "Ends," followed by the currently set end date, and then double-tap the screen. The calendar grid opens. To change the month, swipe right or left until you hear "Next month" or "Previous month," and then double-tap the screen. Swipe right on the calendar grid until you find the date you want, and then double-tap the screen to select it. To confirm the date, swipe right until you hear "OK button," and then double-tap the screen.

To set the end time, swipe right once. You hear the current end time. Double-tap the screen. You hear: "Double-tap to select hours." If you want to make the event repeating, swipe right until you hear "Repeat never," and then double-tap the screen. Swipe right or left until you hear the repeat option you want, and then double-tap the screen to confirm it.

Swipe right until you hear "Location," and then double-tap the screen. Use the on-screen keyboard to enter the location of your event. Swipe down-then-left to close the keyboard.

Swipe right until you hear "Description," and then double-tap the screen. Use the on-screen keyboard to write the event description. When you’re done, swipe down-then-left to close the keyboard, swipe left until you hear "Submit," and then double-tap the screen.

When you’ve added all the event details, swipe right until you hear "Submit," and then double-tap the screen. The event is sent to the group chat.
Tip: The event is now listed under the Events heading in the group contact card. To access the group contact card, in the group chat, swipe left or right until you hear the group name, and then double-tap the screen. Then swipe right until you hear "Events," and keep swiping right until you hear the event you want.
Invite people to join you in Microsoft Teams
Everything is better when it’s shared. You can invite people saved in your address book, or people you know using their phone number or personal email address. You can invite people from the menu or directly in a chat.

You can't use a contact's work or school email to invite them to Teams for personal and small business use.

Invite people from the menu

Swipe left until you hear "Navigation button," and then double-tap the screen.

Swipe right until you hear "Button, invite someone to your Teams," and then double-tap the screen.

Swipe right to browse the different methods to share the link, and then double-tap the screen to select the method you want, for example, "Messages." The app you selected opens.

In the app that opens, select the contact from your address book or write the email address or phone number for the contact you want to invite, swipe right or left until you hear "Send," and then double-tap the screen.
Invite people from a chat

Swipe left or right until you hear "Chat, tab," and then double-tap the screen.

Swipe left until you hear "New chat," and then double-tap the screen.

Swipe right until you hear “Enter name, phone number, or email,” and then double-tap the screen.

Type the name of the contact or the email address or phone number of the person you know to the field. The search results are displayed as you type and you hear the number of names found. To browse the search results, swipe down-then-left to close the on-screen keyboard, and then swipe right until you find the contact you want. Double-tap the screen to select a contact.

Swipe left until you hear "Next button," and then double-tap the screen.

Swipe right until you hear "Send invite, button," and then double-tap the screen.

If you hear "Complete action using," swipe right until you hear the option you want, and then double-tap the screen.

Follow the instructions for the messaging app you selected to share the link with, swipe right or left until you hear "Send," and then double-tap the screen.
Delete old chats
You can delete chats from your chat list. This both removes you from the group and removes the chat from your chat list.
When you remove a group chat, the chat is only removed from you, but not from the other group participants. The other participants will see that you've left the group chat but won't know that you've deleted it. If someone adds you back to an ongoing group chat that you previously deleted, the entire chat history is available to you again. A confirmation pop-up window opens. Swipe right until you hear "Delete, button," and then double-tap the screen. You hear: "This chat has been deleted."
Manage what contact information others can view
You can choose to show your contact information or limit what information is available. If you prefer to limit what your contacts can view, you can hide either your phone number, email, or both. For more information, go to Learn more about your account.
Note: When you make your email and/or phone number visible on your profile card, it helps people know it's you and lets you send meeting invites via email. Contacts that are blocked will not be able to view your contact information even if you make the information visible.

To return to the previous view, swipe left until you hear "Back button," and then double-tap the screen.
