This article is for people who use a screen reader program such as Windows Narrator, JAWS, or NVDA with Microsoft 365 products. Use To Do with your keyboard and a screen reader to organize your lists into groups. We have tested it with Narrator, JAWS, and NVDA, but it might work with other screen readers as long as they follow common accessibility standards and techniques. You'll learn how to create and rename groups, add lists to groups, and ungroup lists.

Create a group

Organize your lists into groups to easily find related lists in one place. Your groups are displayed in the Lists menu.

  1. Press the Tab key or Shift+Tab until you hear "Create a new group," and then press Enter. An untitled group is created. The focus is in the group title field.

  2. Type a name for the new group, and then press Enter. The name is added, and the focus is on the new group.

Add a list into a group

  1. Navigate to the list that you want to add into a group.

  2. When on the list, press Shift+F10 or the Windows Menu key. The context menu opens.

  3. Press the Down arrow key until you hear: "Move list to." Press the Right arrow key to expand the menu.

  4. Press the Down arrow key until you hear the name of the group you want, and then press Enter to select it. The list is added into the group.

Rename a group

  1. Press the Tab key or Shift+Tab until you hear "Lists," followed by the name of the currently selected list or group.

  2. Press the Up or Down arrow key until you hear the group you want to rename.

  3. When on the group, press Shift+F10 or the Windows Menu key. The context menu opens.

  4. You hear: "Rename group." Press Enter.

  5. The focus moves to the group title field. Type the new name for the group, and then press Enter.

Ungroup lists

When you ungroup lists, the lists are removed from the group, but they are not deleted. The ungrouped lists move to the main level of the navigation tree.

  1. Press the Tab key or Shift+Tab until you hear "Lists," followed by the name of the currently selected list or group.

  2. Press the Up or Down arrow key until you hear the group whose lists you want to ungroup.

  3. When on the group, press Shift+F10 or the Windows Menu key. The context menu opens.

  4. Press the Down arrow key until you hear "Ungroup lists," and then press Enter.

    The lists are removed from the group, and the empty group is deleted.

Remove a single list from a group

You can remove a single list from a group. The removed list is moved to the main level of the navigation tree, and it is not deleted. Removing a single list from a group doesn't delete the group either even when the list is the only list in the group.

  1. Press the Tab key or Shift+Tab until you hear "Lists," followed by the name of the currently selected list or group.

  2. Press the Up or Down arrow key until you hear the list which you want to remove from a group.

    If you don't hear the list, make sure that the group in which the list belongs to is expanded. To expand a group, navigate to the group and then press Spacebar.

  3. When on the list, press Shift+F10 or the Windows Menu key. The context menu opens.

  4. Press the Down arrow key until you hear "Remove from group," and then press Enter.

    The list is removed from the group.

Delete an empty group

You can delete groups which don't contain lists.

  1. Press the Tab key or Shift+Tab until you hear "Lists," followed by the name of the currently selected list or group.

  2. Press the Up or Down arrow key until you hear the group you want to delete.

  3. When on the group, press Shift+F10 or the Windows Menu key. The context menu opens.

  4. Press the Down arrow key until you hear "Delete group," and then press Enter.

    The group is deleted.

Create a group

Organize your lists into groups to easily find related lists in one place. Your groups are displayed in the Lists menu.

  1. To navigate to the Lists menu, swipe left until you hear "Lists menu," and then double-tap the screen.

  2. Swipe right until you hear "Create group," and then double-tap the screen. The Create a Group dialog opens. The focus is in the group title text field.

  3. Use the on-screen keyboard to delete the default name, and then type a descriptive name to your group.

  4. Once you're done typing, swipe left until you hear "Create group," and then double-tap the screen.

Add a list into a group

You can add a list into a group either by dragging and dropping the list to the group or using the detail view in an opened list.

Drag and drop a list into a group

  1. Navigate to the list which you want to add into a group, and then double-tap and hold the screen. You hear an audio cue. The list is selected.

  2. Without lifting your finger off the screen, drag you finger up or down the screen until you hear "Move below," followed by the name of the group to which you want to move your list.

  3. To drop the list to the group, lift your finger off the screen.

Add a list into a group using the list detail view

  1. Navigate to the list which you want to add into a group, and then double-tap the screen to select and open the list.

  2. Swipe right until you hear "List options," and then double-tap the screen.

  3. Swipe right until you hear "Move list to," and then double-tap the screen.

  4. Swipe right until you hear the name of the group you want, and then double-tap the screen to select and add the selected list to the group.

Rename a group

  1. In the List menu, navigate to the group you want to rename.

  2. With the Rotor set to Actions, swipe up or down until you hear "More options for group," followed by the name of the group.

  3. Double-tap the screen. The Group Options dialog opens.

  4. Swipe right until you hear "Rename group," and then double-tap the screen.

  5. Use the on-screen keyboard to delete the current title and type a new title for the group.

  6. Once you're done typing, swipe left until you hear "Rename" and double-tap the screen.

    The focus moves to the renamed group in the List menu.

Ungroup lists

When you ungroup lists, the lists are removed from the group, but they are not deleted. The ungrouped lists move to the main level of the navigation tree.

  1. In the List menu, navigate to the group you want to edit.

  2. With the Rotor set to Actions, swipe up or down until you hear "More options for group," followed by the name of the group.

  3. Double-tap the screen. The Group Options dialog opens.

  4. Swipe right until you hear "Ungroup lists," and then double-tap the screen.

    The lists are removed from the group. The empty group is deleted.

Remove a single list from a group

You can remove a single list from a group. The removed list is moved to the main level of the navigation tree, and it is not deleted. Removing a single list from a group doesn't delete the group either even when the list is the only list in the group.

Add a list into a group

You can add lists into groups even after the group has been created. You can either drag and drop lists into a group or use the group context menu.

  1. In the List menu, swipe left or right until you hear "More options for group," followed by the name of the group into which you want to add a list.

  2. Double-tap the screen. A context menu opens, and you hear: "Add, remove lists."

  3. Double-tap the screen. The Select lists to add or remove dialog opens.

  4. Swipe right until you hear the list you want to add, and then double-tap the screen. Repeat this step for each list you want to add to the group.

  5. To confirm your selections, swipe right until you hear "Save changes," and then double-tap the screen.

Rename a group

  1. In the List menu, swipe left or right until you hear "More options for group," followed by the name of the group which you want to rename.

  2. Double-tap the screen. A context menu opens.

  3. Swipe right until you hear "Rename group," and then double-tap the screen.

  4. Use the on-screen keyboard to type the new name for the group.

  5. Once you're done typing, swipe right until you hear "Rename," and double-tap the screen.

    The focus moves back to the List menu.

Ungroup lists

When you ungroup lists, the lists are removed from the group, but they are not deleted. The ungrouped lists move to the main level of the navigation tree.

  1. In the List menu, swipe left or right until you hear "More options for group," followed by the name of the group whose list your want to ungroup.

  2. Double-tap the screen. A context menu opens.

  3. Swipe right until you hear "Ungroup lists," and then double-tap the screen.

    The lists are removed from the group. The empty group is deleted.

You can remove a single list from a group. The removed list is moved to the main level of the navigation tree, and it is not deleted. Removing a single list from a group doesn't delete the group either even when the list is the only list in the group.
