See your Planner schedule in Outlook calendar

Plan your time better by seeing your Microsoft Planner tasks on your Microsoft Outlook calendar.

Note: This feature is available in basic plans and your "Assigned to me" tasks in My Tasks. It is not available for premium plans, To Do lists, or other tasks in My Tasks.

See your Planner schedule in your Outlook calendar

Add a basic plan to your Outlook calendar

  1. Open the plan you would like to add to your Outlook calendar.

  3. Select Add plan to Outlook ​​​​​​calendar.

    Note: If you don't see this option, the plan owner needs to follow these steps to publish the plan to an iCalendar feed.

  4. If you're an owner of the plan, select Publish, share with anyone to publish the plan to an iCalendar feed.  

    Warning: Don't share the iCalendar link where unauthorized users may access it. Anyone with an internet connection can use the iCalendar link to see task information from the plan.

  5. Select Add to Outlook to automatically open Outlook and begin the setup to add the plan to your calendar.

  6. On the Subscribe from web tab, change the Calendar name if you like, and select Import.

Add tasks assigned to you to your Outlook calendar

  1. Open My Tasks in Planner.

  4. Select Add "Assigned to me" tasks to Outlook calendar.

  5. Select Publish, share with anyone to publish the plan to an iCalendar feed.

  6. Select Add to Outlook to automatically open Outlook and begin the setup to add the plan to your calendar.

  7. On the Subscribe from web tab, change the Calendar name if you like, and select Import.

View your plan and tasks in Outlook

  1. Under Other calendars, select your plan.

  2. Select a Planner task to see a quick view.

  3. To see more details, select the View event arrow in the upper right.

    Here you can see dates, progress, and a checklist summary.

    You can also select Open this task in Microsoft Planner.

    In Planner, you're able to edit this task as usual.

Turn off calendar sync

If you no longer want your Planner task information to be accessible via an iCalendar link, you can turn off the iCalendar feed.

  1. Follow the steps above to open the iCalendar feed settings for your plan or "Assigned to me" tasks.

  2. Select Don't publish, keep private to turn off the iCalendar feed.​​​​​​​

Note: The iCalendar feed setting only applies to the plan you change the setting in. To turn it off for all your plans, repeat the steps above for each plan you want to turn it off for.
