Use a screen reader to work with timesheets in Project

This article is for people who use a screen reader program such as Windows Narrator, JAWS, or NVDA with Microsoft 365 products. Use Project Online with your keyboard and screen reader to edit, save, and submit your timesheet, and approve timesheet items assigned for your approval. We have tested it with Narrator, but it might work with other screen readers as long as they follow common accessibility standards and techniques.

  • When you use Project Online, we recommend that you use Microsoft Edge as your web browser. Because Project Online runs in your web browser, the keyboard shortcuts are different from those in the desktop program. For example, you’ll use Ctrl+F6 instead of F6 for jumping in and out of the commands. Also, common shortcuts like F1 (Help) and Ctrl+O (Open) apply to the web browser – not Project Online.

Edit, save, and submit your timesheet

  1. In the Home view of Project Online, press the Tab key until you hear "Timesheet," and press Enter. The Timesheet view is opened, containing your timesheet for the current period. The focus moves to the top row of the task details table.

  2. The task details table contains all project tasks currently assigned to you, as well as administrative tasks such as sick time and vacation time. For each task, the table lists the project name, task name, comment, billing category, and process status. To move from column to column, press Ctrl+Alt+Left or Right arrow key. To move from row to row, press Ctrl+Alt+Up or Down arrow key.

  3. To add a comment to a task on your timesheet, move to the Comment column and press Spacebar to enter editing mode. Type your comment and when you are finished, press Ctrl+F6 to leave editing mode.

  4. Press the Tab key until you hear: "Time entries table." The time entries table contains Actual and Planned rows corresponding to each row of the task details table, and columns for each day of the timesheet period. To move from column to column, press Ctrl+Alt+Left or Right arrow key. To move from row to row, press Ctrl+Alt+Up or Down arrow key.

  5. To add hours to the timesheet, move to the Actual row corresponding to the task you want to add hours for, and to the column for the correct day, and press Spacebar to enter editing mode. Type the number of hours and when you are finished, press Ctrl+F6 to leave editing mode.

  6. To leave the time entries table, press Ctrl+F6.

  7. Press the Tab key until you hear "Timesheet tab," and press Enter.

  8. Press the Tab key until you hear "Save button," and press Enter to save your timesheet. This does not submit your updates.

  9. To send your timesheet for approval, press the Tab key until you hear "Send button," and press Spacebar to open the Send menu.

  10. Press the Tab key until you hear "Turn in final timesheet," and press Enter. The Send Timesheet dialog opens.

  11. Press Enter to send the timesheet for approval.

Approve a timesheet

  1. In the Home view of Project Online, press the tab key until you hear "Approvals," and press Enter. The Approvals view is opened, containing a list of items waiting for your approval. The focus moves to the top row of the approval details table.

  2. The approval details table contains details of timesheet items waiting for your approval. To move from column to column, press Ctrl+Alt+Left or Right arrow key. To move from row to row, press Ctrl+Alt+Up or Down arrow key.

  3. To select a item to be approved, move to the correct line in the approval details table, press Ctrl+Alt+Left arrow key until you hear "Non selected, read only," followed by the number of the row and "Unchecked checkbox". To check the checkbox, press the Right arrow key and then press Spacebar.

  4. To leave the approval details table, press Ctrl+F6.

  5. Press the Tab key until you hear "Approvals tab," and press Enter.

  6. Press the Tab key until you hear "Accept button," and press Enter. The Confirm Approval dialog opens.

  7. Press Enter to approve the timesheet item.
