Use a screen reader to insert content to notebooks in OneNote

Use OneNote with your keyboard and a screen reader to add various kinds of content to your notes, such as Excel workbooks and other files, tables, pictures, and recordings. We have tested it with Narrator, JAWS, and NVDA, but it might work with other screen readers as long as they follow common accessibility standards and techniques.

Insert a file

Inserting a file (such as a Microsoft Word document) to a page in OneNote places a copy of that file in your notes. The file appears as an icon that you can select and open to edit the contents of the file.

  1. In OneNote, place the cursor on the page where you want to insert a file.

  2. Press Alt+N, F to open the Choose a file or a set of files to insert dialog box. The focus is in the File name field.

  3. Navigate to the file you want to insert. Use the Tab key or Shift+Tab to navigate the sections within the dialog box, use the arrow keys to move within a section, and press Enter to open a folder.

  4. When on the file you want to attach, press Enter.

  5. The Insert File dialog box opens. Use the Up and Down arrow keys to move in the dialog box. The options in the dialog box might vary according to the type of file you are attaching. You hear the options as you move.

  6. To insert the file, press Enter.

Attached files are stored as part of their associated notebook. If you move the notebook to another location, any inserted files move with the notebook.

Insert a table

Tables can make information easier to find and read. Adding a basic table in OneNote is quick and easy.

  1. In OneNote, place the cursor anywhere on the page where you want to insert a table.

  2. Press Alt+N, T to open the Table menu.

  3. Use the arrow keys to select the size of the table. You hear the currently selected table size as you move. When you hear the size you want, press Enter.

    The table is inserted and the focus is in the first cell of the table. With Narrator and NVDA, you hear “Table inserted,” followed by the number of columns and rows in your table. With JAWS, you hear "Content block," and then "Untitled table, cell."

Insert tags

Tags are a way to categorize and prioritize notes in OneNote. You can tag anything from a single line of text to an entire paragraph.

  1. Place the cursor at the beginning of the line of text you want to tag.

  2. Press Alt+H, T to open the Tags menu.

  3. Use the Down and Up arrow keys to navigate the options. You hear the options as you move.

  4. Press Enter to select.

Tip: You can search for tagged notes by keyword and category. To search, press Alt+H, G. The Tags Summary pane opens. If you do not hear "Group tags by, combo box," press the Tab key until you do. Then press the Down arrow key to open the list of options and press the Down arrow key repeatedly to navigate the options. Press Enter to select. To move to the list of tags, press the Tab key until you hear the tagged text. Press Enter to bring the focus to the tagged note text in the notebook, and then press Esc to put the cursor to that location on the page.

Insert a bulleted or numbered list to organize your text and make it easier to read.

Use bullet formatting for creating a list where the items don’t need to be in any particular order.

  1. Place the cursor where you want to start the list.

  2. Type * (asterisk) and press Spacebar. OneNote starts a bulleted list automatically.

  3. Type the list item text.

  4. Press Enter to begin a new list item.

Insert a numbered list

Use number formatting for creating an ordered list that should be followed sequentially.

  1. Place the cursor where you want to start the list.

  2. Type 1. (number one and a period) and press Spacebar. OneNote starts an ordered list automatically.

  3. Type the list item text.

  4. Press Enter to begin a new list item.

Insert a picture from file

  1. Place the cursor where you want to add the picture.

  2. Press Alt+N, P to open the Insert Picture dialog box.

  3. Navigate to the picture you want to insert. Use the Tab key or Shift+Tab to navigate the sections within the dialog box, use the arrow keys to move within a section, and press Enter to open a folder.

  4. When on the picture you want, press Enter to insert it.

Embed an Excel workbook

This option creates a copy of your workbook and adds a static image of the workbook in your notes. Above the image there is an icon that links to the fully functioning version of your workbook in Excel.

  1. Place the cursor where you want to embed the Excel workbook.

  2. Press Alt+N, X to open the Spreadsheet menu. The Existing Excel Spreadsheet option is selected. Press Enter.

    Tip: You can also create a new spreadsheet. To create and embed a new one, press the Down arrow key and then Enter.

  3. The Choose Document to Insert dialog box opens. Navigate to the file you want to insert. Use the Tab key or Shift+Tab to navigate the sections within the dialog box, use the arrow keys to move within a section, and press Enter to open a folder. When on a file you want, press Enter to select it.

  4. The Insert File dialog box opens. Press the Down arrow key once to move to the Insert Spreadsheet option. Press Enter to embed the Excel workbook. The cursor is placed on the page below the embedded workbook, and with Narrator and NVDA you hear: "Paste succeeded." With JAWS, there is no audio cue that the file was embedded.

Embed an online video

  1. Copy the address of your video source.

    Note: Not all video sites are supported. For the currently supported sites, check Insert online videos into OneNote for Windows.

  2. In your notebook, place the cursor where you want to insert the video.

  3. Press Alt+N, J to open the Insert Online Video dialog box. The focus is in the Video address field, and you hear the contents of the field.

  4. Press Ctrl+V to paste the video link. You can also type the address.

  5. Press the Tab key until you hear "OK button," and then press Enter.

    A link to the video and the embedded video player is added to your notebook page.

Insert audio and video recordings

In some cases, recording audio or video can be quicker and easier than typing notes. If you decide to take notes while recording, they're linked to the recording. Before recording audio or video, make sure your computer has a microphone and a webcam and that both are set up and working. Also, ensure that all parties involved are aware of the recording and you have a permission to record.

  1. In your notebook, place the cursor where you want to insert the recording.

  2. Press Alt+N to open the Insert tab.

  3. To record audio:

    1. Press A. Recording starts.

    2. If you want to pause recording, press Alt+J, A, U. To resume recording, press Alt+J, A, U again.

    3. To stop recording, press Alt+J, A, S.

    To record video:

    1. Press V. Recording starts.

    2. To stop recording, press Alt+F4.

  4. To play the recording, navigate to the recording in your notebook page. Depending on your recording type, you hear either "Audio file" or "Video file," followed by the file name. Press Ctrl+Alt+P to start playing.
