The Citation field displays information about a particular source, according to the citation style that you chose. The easiest way to insert a citation in your document is to use the Insert Citation command in the Citations & Bibliography group on the References tab.

You can customize the citation by adding switches to the Citation field code. These switches are not available in the Edit Citation or Edit Source dialog boxes.

An easy way to insert a Citation field code into your document is to use the Insert Citation command in the Citations & Bibliography group on the References tab. When you use this command, Word places the Citation field code in your document.

  1. Click where you want to insert the citation.

  2. On the References tab, in the Citations & Bibliography group, click Insert Citation.

  3. Do one of the following:

    • If the citation refers to a source that is in your current list of sources, click the source.

    • If the citation refers to a source that is not yet in your list of sources, click Add New Source, and then type the source information in the Create Source dialog box. The new source is added to both the master list and the current list of sources, and the citation is inserted in the document.

    • If you want to insert a citation as a placeholder for a new source, click Add New Placeholder.

Note: You can also insert a Citation field code by using the Field dialog box.

When a Citation field code is in your document, you can change it by using the Field dialog box.

  1. Right-click the Citation field code that you want to change, and then click Edit Field on the shortcut menu.

  2. In the Field codes box, type a different tag name, or change the switches.

Syntax

When you view the Citation field code in your document, the syntax looks like this:

{ CITATIONTag [Optional switches] }

Note: A field code tells the field what to show. Field results are what is shown in the document after having evaluated the field code. To toggle between viewing the field code and the field code results, press Alt+F9.

Tag

Provides a unique identifier for the source. Word generates a tag name when you add a new source to your list of sources. The tag property of the Citation field code is the tag name that appears in the Create Source and Edit Source dialog boxes when you add a source to your list or change an existing source. The tag name is case sensitive.

Optional switches

\l locale ID

Identifies the language in which to display the citation. When Default is selected in the Language list in the Create Source or Edit Source dialog box, you can use the \l switch and the locale ID to display the citation in the language that you specify. 

\v volume number

Adds the volume number that you specify to the citation.

\f "Prefix"

Adds the text that is in quotation marks to the beginning of the citation. For example, the field code { CITATION \l 1033 Che01 \f "qtd. in" } results in a citation that looks like this, in the MLA citation style:

(qtd. in Chen).

\s "Suffix"

Adds the text that is in quotation marks to the end of the citation. For example, the field code { CITATION \l 1033 Che01 \s "in press" } results in a citation that looks like this, in the APA citation style:

(Chen, 2003, in press).

\m tag name

Adds another source to the same citation.

Note: Another way to add another source to the same citation is to select the existing citation and insert another source into it.

Example

The field code { CITATION \l 1033 Che01 \v3 \m Kra \v2 } results in a citation that looks like this, in the APA citation style:

(Chen, 2003, vol. 3; Kramer, 2006, vol. 2).
